Cooling Station Opening/Closing Procedures

Items on the cart – On Sunday/Monday morning, the cart will be in the back room of the bunker which is located across the walkway from the main home concession stand. During the week, the cart will be in the front room of the bunker

    * 2 cots and 2 “egg crate” mattresses
    * Water cooler with ice water
    * Ice chest with ice water, face towels and filled spray bottles
    * Ice chest with Powerades/bottled water
    * First Aid Kit and gray notebook with sign-in sheets
    * Plastic box with drinking cups, trash bags, misc
    * Tent, 4 lawn chairs and, if there, a folding table

First Day of the Week Set Up

The rolling cart with the above items should be in the back room of the storage bunker. Clean face towels will be in a container in the bunker. Go the night before the first practice and fill the water cooler with ice and water, one chest with ice/water, towels and filled up water bottles and one cooler with ice, Powerades and bottle water. Make sure you have all the above items on the cart and ready to go for the next day.

Set Up Each Day of Practice (Begin 30 minutes prior to practice.)

Before practice take the cooler with Powerades/bottled water over to the area where the Band Directors are getting set up for the day (this is their cooler). Roll the cart over to the west side of the parking lot by the horses. Set up the tent and place the table and chairs near the front of the tent and leave the cart with all of the other items in the back of the tent area. Tie a trash bag to the cart for the week. The volunteers working the cooling station will arrange the items where they want them.

Mid-Day Take Down and Set Up (Between Practices – Set Up begins 15 minutes early)

Take Down
After the morning session, take down the tent, fold up the table and folding chairs and place everything back on the cart. Take the cooler with iced towels and spray bottles over to the Color Guard. Find the Band Directors cooler and put it on the cart. Roll the cart back to the front room of the bunker and lock up. Used iced towels should be placed in the plastic container labeled “used towels” in the front bunker room. You shouldn’t need to do anything with the coolers unless you notice they are really low on supplies. 

Mid-Day Take Down and Set Up Continued (Between Practices – Set Up begins 15 minutes early)

Set Up
Same as above “Set Up Each Day of Practice” (the cooler with the iced towels and spray bottles may be in front of the bunker door). Everything else should be ready to go when you get there.

End of The Day Take Down

Take down the tent, fold up the table and folding chairs and place everything back on the cart. Go over to the Band Directors and find their cooler and put it on the cart. Roll the cart back to the concession stand area and refill the coolers with supplies if needed.  Leave the cart in the front room of the bunker ready for the next day, turn off the lights and lock up. After the last practice of the week, all coolers will be emptied, the towels will be washed and returned and the cart will be locked in the back room of the bunker.
