Fall Concessions - Get More Involved!

Concessions are the BAND'S LARGEST FUNDRAISER and FALL FOOTBALL games bring the biggest revenues.  Concessions are not a “normal” volunteer task; they are a PROFIT PRODUCING effort. There are two types concession volunteers on game nights - Experts and Rookies.  We need "experts" to serve as "Crew Chiefs" for at least TWO Varsity home games this fall.   

Varsity Game Crew Chief – (need 7-8 total - each working at least 2 varsity games) There are usually just a handful of varsity home games in the fall.  We need crew chiefs in each stand to direct the activity as needed in order to MAXIMIZE sales.  A crew chief assesses the experience level of each volunteer and offers assistance in training, placement, rearranges positions, opens new stations, etc. as necessary.  A crew chief will have a little more flexibility to come and go between stands (for product) and to the front gate (change) always checking on flow and productivity.  These sharp eyes and ears should pick up on suggestions from others and share/implement any good ideas for improving the concession process.  Most of his/her intense work will be at the beginning (5:45-6:00 pm) until around 7:30 pm and then just before halftime through the busy period, and finally to help begin and direct closing activities.  Leadership skills, people skills are really helpful in this role.  A husband/wife team might consider sharing the role – then, one of them could watch and videotape the halftime performance (the one on the field).  Training will be provided.   

Concessions also require behind-the-scenes preparation to make them a reality - inventory, product receiving, order pick-ups, etc. This is a great way to serve the band (and get to know some of the other parents) without missing a Friday night football game or halftime performance!  Although you may want to work concessions a couple of times so you better understand the process flow from beginning to end (pick a Thursday night JV game).  You DO NOT need to possess any skills to help in most of the jobs below.   
 
There are three main behind-the-scenes job areas and one smaller (but important) role:

Inventory  - (need 8 total) Product counts are conducted Saturday mornings after ALL home football games and take approx. 2 hours/stand.  You would work in pairs (recruit your buddy) and just inventory ONE stand each of these Saturdays.  Then, you would drop off your inventory sheet at the home of our “Product Ordering” person.    

Product Ordering – (need 1-2 total) Initial work performed Saturday from noon – 2:00 pm in the comfort of your own home with your computer.  Inventory sheets would be dropped off at your home for consolidation.  You would be trained about concession usage, replenishing quantities, vendor contacts, etc.  The order for Sam’s would be faxed in by 2:00 pm that day.  Other orders (Texas Twist, Sysco, and Coke) would be called/faxed in on Monday morning.  Some follow up would be productive to ensure our orders don’t fall through the cracks.  

Receive Product – There are three areas of receivers:   

Sunday receivers (need 4-5 DADS – sorry ladies) – Work six to seven Sunday afternoons in the fall from 1:00-4:30 pm or 2:00-4:30 pm (this could be less time – just worse case).  The job is to pick up the Sam’s order (3 people with a large truck), return to stadium (meet some more buddies), stock each of the three stands (paper goods, candy, buns, coffee, hot chocolate, cans of nacho cheese, etc.)     

Wednesday receiver (need 1 MOM) – Be on call six to seven Wednesday mornings to receive Texas Twist (pretzels) from the vendor.  This is a frozen product that will need to be placed in each stand’s freezer.  The vendor will call by 9:00 am with an ETA and then you would meet the delivery at the stadium (light boxes).  You would open the stands, help them stock into freezer, and lock up afterwards.  

Thursday receivers (need 1-2 people – probably a dad or “fit” mom) – Be available between noon and 5:00 pm to meet Sysco (hotdogs, lemon chills) and Coke (water, Powerade).  You would open the stands, count and direct the stocking of product - freezers for Sysco and stand pantries and bunker for Coke products.  You will want to help and will be trained on the easiest way to do this.   

Maintenance Person – We are searching for a couple of dads (or moms) who might enjoy “tinkering” with equipment.  Mechanical skills and experience a plus.

We really need 24-26 people to help behind the scenes.  In the past we have tended to OVER WORK a few people doing all of these jobs – that’s insane and makes for quick band parent burnout.  If everyone helps a little, all of the jobs become manageable.  Please carefully consider stepping up.  It’s only a handful of fall dates.  If you cannot work one or two dates, we could work around you, so go ahead and volunteer!
